Landlords Accounting & Reports
Add a property expense with its receipt
Keep the amount, rental and supporting document on the same record.
On this page
Before you start
- Check for an existing expense or bank-feed item so you do not record the same cost twice.
- Have the amount, payment date, description, accounting category, property and receipt image or PDF ready.
Enter the expense
- Open Accounting, then Expenses, and choose Add expense.
- Keep Type set to Expense and enter the Amount, Date and Description.
- Choose the Account category and the property the expense belongs to. Select Whole portfolio only when that is the intended scope.
- Attach an image or PDF under Receipt.
- Choose Save expense, then check the saved row and its receipt.
If Save expense is unavailable
When no expense accounts exist, the form asks you to Set up accounts first. A receipt scan or review worksheet is not a saved expense; confirm the actual expense row before adding another record.
Check the result
- The saved expense appears with its date, amount, category and intended property scope.
- The receipt can be checked on the saved record; an expense and its attachment can have different success or failure results.
Troubleshooting & questions
The expense saved but the receipt failed. Should I add the expense again?
No. Find the saved row and use its Attach receipt or Replace receipt action when offered. Read the attachment result separately so a receipt problem does not create a duplicate expense.
Why is Save expense disabled?
Read the account-setup or access message. If the form asks you to set up expense accounts first, complete that prerequisite before entering the expense. A scan preview or worksheet does not replace the saved accounting row.
