Download a rent roll for your portfolio or property

Review the date, property, occupancy and coverage before exporting a CSV.

Before you start

  • Decide the as-of date, property, occupancy scope and column groups you need.
  • Review the underlying lease and unit records, particularly when requesting a historical view.

Build and download the report

  1. Open Payments and choose Configure expanded rent roll in the Rent roll report card. You can also use Actions, then Configure rent roll.
  2. Set the As of date, choose All properties or one Property, and select the Occupancy scope.
  3. Under Export columns, keep the information you need. Select at least one column group.
  4. Choose Review rent roll. Check the returned date, rows and Coverage notes before exporting.
  5. Choose Download reviewed CSV. If you change a filter or column selection, review the report again to enable the new download.
  6. Open the downloaded file and check its scope and coverage before sharing it.

Read missing values and coverage

Historical balances may be unavailable when charge records changed after the chosen date. Room inventory is not linked to leases, and Deposit held reflects trust liability records rather than a confirmed bank balance. If rows are missing, review the date, property and occupancy filters. Follow any access or plan message shown when the report cannot load.

For a quick current export

Generate & export CSV on the Payments overview downloads the standard current rent roll. Use Configure expanded rent roll when you need to review the date, occupancy or export columns first.

Check the result

  • Review rent roll shows the requested date, rows and Coverage notes before download.
  • Download reviewed CSV corresponds to the reviewed selections; changed filters require another review.

Troubleshooting & questions

Why did Download reviewed CSV become unavailable?

Changing a filter or column selection invalidates the previous review. Select at least one column group, review the rent roll again and resolve any access or validation message before downloading.

Why are historical balances or room details missing?

Read Coverage notes. Historical balances can be unavailable when records changed after the chosen date, and room inventory is not linked to leases. Deposit held is a recorded liability, not a confirmed bank balance.
