Check whether a document is private or shared
Review the rental and privacy setting before making a file visible to tenants.

Before you start
- Identify the correct stored document and rental. Decide whether the tenant should be able to see this version before changing its privacy.
Review a stored file
- Open Documents and find the file by title. Clear the filters if it is missing.
- Check the Rental column and look for the Private label beside the file.
- Open the row action menu. Choose Make private to hide it from tenants, or Share with tenants when the correct file should be shared.
- Check the confirmation and the updated Private label after the change.
For a new upload
Select the intended Rental and check Private: hidden from tenants if the file should stay private. Sharing is tied to the rental or lease record; it does not mean the document is public on the web.
Check the result
- The document row reflects its current Private state after the change succeeds. Opening the stored file lets you verify which version the setting applies to.
Troubleshooting & questions
The document disappeared after I made it private. Was it deleted?
Check the Private and other list filters. A privacy change is separate from deletion and can change which filtered list contains the document.
Does Share with tenants put the file into an e-sign request?
No. Sharing changes document visibility for its rental. Preparing fields and sending a signature request are separate actions.
Can I assume the right tenant can see it if Rental is None?
No. Review the rental association along with the privacy state. A file without the intended rental association is not proof that a particular tenant received access.
