Take a ticket from report to scheduled visit

What happens to a maintenance request after it arrives: triage, a vendor, a scheduled visit, and the tenant kept informed without you writing anything.

Before you startA ticket. They arrive from tenants, from your inspections, or you raise them yourself.
1

Read the triage before you act

Every incoming ticket is categorised and given a proposed priority from the tenant's own description, with the reasoning shown.

It is labelled AI suggested because it is a proposal. Override it whenever you know something the description does not say.

Step 1: Read the triage before you act
2

Schedule the visit rather than arranging it

Schedule the visit coordinates between the vendor's availability and the tenant's, and confirms with both. You are not the messenger.

Entry permission is captured here too, which matters: most states require notice before entering an occupied unit, and the ticket records that it was given.

Worth knowingUrgent habitability work is usually exempt from the notice period, but the exemption is narrow. The ticket records what you relied on either way.

3

Reassign when a vendor goes quiet

Reassign moves the job to somebody else without losing the thread, the photographs or the history.

Thread is the conversation with the tenant about this specific job, which is where they see progress without having to chase you.
